What Is Accounts Payable Automation? A Practical Guide

· 6 min read · By Evyqor AI

Accounts payable (AP) automation is the use of software, increasingly AI, to handle the invoice-to-pay process with little or no manual effort: receiving supplier invoices, extracting their data, checking them against your records, routing them for approval and preparing payment.

The invoice-to-pay steps automation covers

  • Capture: invoices arrive by email, upload or scan, in any format, and the data is read automatically.
  • Validation: the invoice is checked against the purchase order, goods receipt, vendor master data, tax rules and prior invoices to catch duplicates and errors.
  • Matching: for PO invoices, the invoice, purchase order and goods receipt are compared (3-way match).
  • Approval: invoices that pass every check are approved automatically; the rest go to the right approver with the reason flagged.
  • Posting and payment: approved invoices post to the ERP and queue for payment.

What manual AP looks like by comparison

Without automation, someone keys invoice data into the ERP, looks up the PO and receipt by hand, emails approvers and chases replies. It is slow, error-prone and hard to audit, and the effort grows linearly with invoice volume.

Where AI changes the picture

Older automation relied on templates per vendor, which broke whenever a layout changed. AI-based extraction reads invoices the way a person does, so scans, photos and unfamiliar layouts do not need new setup. The bigger gain is exception handling: instead of every invoice touching a person, only the ones that fail a validation do.

How to tell if you need it

  • Your team re-keys invoice data or spends time looking up POs and receipts.
  • Invoices wait days for approval and nobody can say where they are.
  • You have paid a duplicate or incorrect invoice before.
  • Month-end close is slowed by unposted or unapproved invoices.

If two or more of those are true, automation will likely pay back quickly. Evyqor AP is built for exactly this flow; see the Accounts Payable product page for how it handles each step.
